Volunteer Onboarding Process - Tyabb & Mt Martha Campuses

Our volunteers play an essential role in the life of the College. The generous time, skills, and care you share with our students and staff strengthen our community and help us provide a safe, welcoming, and enriching environment for every child.

We are introducing a new streamlined volunteer onboarding process using MRI OnLocation. This update supports our commitment to child safety, regulatory compliance, and a smooth, efficient experience for all volunteers. Please refer to our Flinders Community Program (FCP) which outlines options available for those wishing to participate in volunteering.

What’s Changing and What You’ll Need to Do

  • Self registration Please complete your registration on our new Volunteer Onboarding Portal. This creates your OnLocation profile and begins the onboarding process.
  • Annual onboarding training During registration, you’ll be guided through a short training module to confirm your understanding of our Child Safe obligations and volunteer expectations. This training is required each year.
  • Upload your Working with Children Check Please upload a current Working with Children Check (WWCC) or equivalent. A staff member will verify your check during your first visit before you begin volunteering.
  • Sign in and out on campus Once onboarded, please sign in and out at Main Reception, or nominated sub-school; alternatively, using the QR codes located around the College. This supports safety management, emergency readiness, and accurate attendance records.

Frequently Asked Questions (FAQs)

Do I need to complete onboarding every year?

Yes. All volunteers complete annual onboarding to ensure everyone is up to date with our Child Safe obligations and College expectations.

What if I already have a Working with Children Check?

You can upload your existing Working with Children Check during registration. A staff member will still need to verify it in person on your first visit.

Can I start volunteering before my onboarding is complete?

No. For safety and compliance reasons, onboarding must be fully completed, including training and WWCC verification, before you begin any volunteer activity.

How long does the onboarding process take?

Most volunteers complete the registration and training in under 15 minutes. Verification occurs at your first visit.

Where do I sign in when I arrive on campus?

Once onboarded, you can sign in using the QR codes placed around the College. These are located at main entry points and key volunteer areas such as the College Gym, Primary School Offices, P&F.

Why do I need to sign in and out?

Signing in supports emergency management and accurate attendance records. It also ensures we know who is onsite at all times for child safety.

How is my personal information used?

Your information is collected solely for safety, compliance, and volunteer management and is handled in accordance with the College’s Privacy Policy.

Working with Children Checks

Parents who volunteer to participate in activities at the College are required to hold a current Working With Children Check card. If you are considering helping out as a volunteer, please contact the Department of Justice to apply for your Working With Children Check card. Application forms are available from your local post office.

If you already hold a Working With Children Check card but it has expired (and you did not receive a renewal form), contact the Department of Justice on 1300 652 879 to arrange renewal of your registration.

Volunteers, please check your Working With Children Check card expiry date on an annual basis.
